At Vaylix, we keep it simple: we only collect what’s needed, and we’re transparent about what we do with it.
What we store
When you use our contact form, we store the following:
What you fill in
- •Name and email address
- •Company name (optional)
- •Project type and budget range (optional)
- •Subject and message
What’s captured automatically
- •Website language setting
- •How you found us (referrer, UTM parameters)
- •Browser information (user-agent)
- •Anonymized IP address (hashed, not traceable)
Cookies
We set one functional cookie for your language preference (valid 1 year). No tracking, no analytics, no advertising — none of that.
Why we store this
- •To respond to your message
- •To understand how visitors find us, so we can improve our website
- •To prevent spam (via the anonymized IP address)
We don’t sell your data and don’t share it with third parties for marketing purposes.
Legal basis
We process your data based on our legitimate interest in responding to your message and preventing abuse, and — where applicable — on your consent. The language-preference cookie is functional and necessary for the website to work.
Third parties we work with
To host our website, store data securely and send emails, we work with a small number of carefully selected service providers. They process data solely on our behalf and under a data-processing agreement:
- •Hosting & infrastructure — for the website and network (DNS)
- •Database & storage — for the secure storage of form submissions
- •Email delivery — for the automated confirmation and notification emails
Where data is processed outside the EU, we ensure appropriate safeguards (such as EU Standard Contractual Clauses). This list may evolve as our infrastructure changes.
How long we keep it
| Data | Retention |
|---|---|
| Contact form data | 24 months after last contact |
| Language preference cookie | 1 year |
| Server logs | Managed by hosting provider |
Want us to delete your data sooner? No problem — just send us an email.
Your rights
You have the right to access, correct, or delete your data. If you’re unhappy about anything, you can also file a complaint with the Dutch Data Protection Authority.
